Zapier connects business applications so an event in one app can trigger work in another. Its platform includes automated workflows, tables and forms, alongside AI features and agent products.

For a small business, a sensible starting point is moving an enquiry from a form into a customer record, then preparing a follow-up. Add AI only where the input needs interpretation, such as classifying an email or drafting a summary.

What does it offer?

The official platform describes app integrations, workflow triggers and actions, and tools for connecting AI assistants to business applications. Availability differs across the main automation plans and additional AI products.

Plans and limitations

The Free automation plan includes 100 tasks per month and two-step workflows. Paid Professional plans add multi-step workflows, premium apps and webhooks. Agents and Chatbots have their own plan details, so a free Zapier account does not mean unlimited access to every AI feature.

What to check before adopting it

Estimate the number of actions each enquiry will use before choosing a plan. Keep a person responsible for checking AI-written replies, and test what happens when an app connection expires or a record is incomplete.

A practical first test

Run one routine process with sample records first. Compare the time spent correcting failures with the time previously spent doing the work manually.
